How Do I Listen to My Practice Data?

Data is crucial to a successful practice, but simply tracking your KPIs isn’t going to take you to the next level. The difference between high-performing and stagnant practices isn’t whether they measure their KPIs, but rather their ability to interpret them. Your KPIs tell the story of your systems, your team, and the care your patients receive, so learning to listen to that story is critical!

Every KPI Measures More than One Thing

One of the biggest mistakes practices make is believing every KPI has a single meaning. The reality is that multiple systems influence every metric, which means that a single KPI can expose strengths or weaknesses in several areas of the practice. This fact demonstrates the importance of understanding your KPIs instead of simply reacting to a number — if you want to solve the problem, you must listen.

Every KPI Has Two Sides

We tend to think of KPIs as only measuring your practice’s health, but the truth is that they also tell you about your patients’ health. As the numbers improve, it means that your systems are well defined and the team is aligned and optimized, which in turn means that your patients are experiencing ideal care and achieving the outcomes they need and want. At the end of the day, all of the KPIs you track are for patient health, so it’s important to maintain that mindset.

Focus on Improvement, not Blame

When a KPI falls below your goal, the natural response is to ask who’s responsible. However, the better question is which system created the result. Your KPIs talk to you every week, telling you where patients are getting stuck, where your systems are breaking down, and where your team needs clarity. KPIs don’t exist to tell you whether you’re succeeding or failing; they exist to tell you what your practice needs next, so listen to what they say!
